Microsoft Education

ALERT: Deadline for Course Content Accessibility is April 24, 2026

All digital course materials must be fully accessible to all students by April 24, 2026, to comply with Title II of the ADA. The mandate includes all course materials in Canvas to ensure that all students have equitable access to learning as well as to avoid potential legal consequences. NOTE: End of Life - Google Apps LTI (3rd party tool in Canvas) will no longer be supported by Google starting June 30, 2025. Integration with Google will only work with the paid Google Workspace.
You can continue to use the FREE Google apps outside of Canvas and link a "shared" file, but you will not be able to use the Google navigation or buttons in Canvas anymore.

On Sept. 15, 2025, Microsoft Education will sunset OneDrive, Microsoft Teams classes, and Class Notebook OLD Canvas plugins. If you are currently using these plugins, there will not be any impact on you or your students. 

Starting Sept. 8 th, we enabled the NEW plugin Microsoft Education includes OneDrive, Class Notebook, Teams (Collaborations, OneDrive, Classes), and Team Meetings. These changes aim to streamline the Microsoft plugin experiences for users in Canvas by consolidating the capabilities of multiple plugin tools into fewer, more functional options.

You will need to enable the tools by logging into Microsoft Education within the course. 
NOTE: This will use pop-ups and third-party cookies, so please ensure your browser is not blocking pop-ups and allows third-party cookies

If you do not see the Microsoft Education course menu link...
From the Course Settings...

  1. Click on the Navigation tab. 
  2. Enable the Microsoft Education course link. 
  3. Click on the Save button. 
  4. Click on the Microsoft Education course link.
  5. Toggle the apps (OneDrive, OneNote, Teams, Team Meetings) you would like to use in your course. 
  6. Click on the Done button. 

OneDrive

The Microsoft OneDrive integration brings Word, PowerPoint, Excel viewers and editors, along with PDF, OneDrive videos, and images, directly into your Canvas workflows that include:

Class Notebook

NOTE: You'll need to sync enrollments before you use the tool. Learn how to sync enrollments for Microsoft Teams in Canvas.

Use Class Notebook to create a shared notebook and link it to your course for easy discovery and access. Class Notebooks create a private space for each student's content that is only visible to course faculty, and faculty can distribute Notebook Pages with course content to their class easily.

Notebook Pages can be used for note taking, journaling, inking for writing, drawing, and are great for math, music, and art, or anytime there is a need to organize and collaborate on content with your students.

Existing and new students enrolled in your LMS course can access the Notebook automatically without an instructor having to add them.

Teams

NOTE: You'll need to sync enrollments before you use the tool. Learn how to sync enrollments for Microsoft Teams in Canvas.

The Teams app helps you and your students navigate between Canvas and Teams. 

Users can access the course team right through the Microsoft Education dashboard for the course.

Important Reminders

  • Before students can access the class team, you must activate the team.
  • For Merged Courses, wait to set up the Team and Sync until the courses are merged.

Team Meetings

NOTE: You'll need to sync enrollments before you use the tool. Learn how to sync enrollments for Microsoft Teams in Canvas.

The Meetings app incorporates Teams meetings into Canvas. NOTE: Cal Poly already has Zoom, which is also integrated with Canvas. Faculty and students can view upcoming and past meetings, find and play meeting recordings, schedule individual or recurring meetings, and easily join meetings related to the course, all from within Canvas.

Collaborations

Enables real-time, simultaneous work on documents using Microsoft Education for projects and other assignments.

  • NOTE: When creating a collaboration, you cannot link to a previously created collaboration document - You can not use the same document to start another collaboration.
  • This creates the collaboration for selected users, including the educator. 
    If you are using private mode of Safari browser, you will not be able to assign a collaboration to a group of students. 
  • If you are using Firefox browser, a dialog box will appear asking you to Resend or Cancel. You will need to Cancel to create the collaboration. 

NOTE: Students can create their own Collaborations and Collaboration Groups if you enable "Let students organize their own groups" within the course Settings
